How Do I Lock a Child’s Assessment?

Before locking a child’s assessment record, make sure:

All ratings are completed
Child attributes may also need to be completed (depending on your agency settings)

Step by Step:

1. Select the Classroom

Click on your classroom name

Go to Portfolio > Add Observations, then select a classroom

2. Open Portfolio Status

Click Class Status

Then select Portfolio Status

3. Run a Pre-locking Check

Find the child you want to lock
Click the “Pre-locking Check” button

Note:
If you see a screen showing UR (Unable to Rate) or Not Yet measures, it’s a warning. This means you might not receive a domain score unless the minimum requirements are met. A table will show the domain requirements

Example: A domain without enough rated measures will appear as No Score on the report.

4. Confirm Completion

Make sure the child's portfolio is complete for the assessment period.

5. Lock the Child

Click Lock, and confirm when prompted.

Important Notes:

Any changes made to the child will not apply once they are locked.
⚠️ Depending on your account settings, there are two options for locking a child’s assessment:
- Lock and Upload – by Teacher
- Batch Lock and Upload – by Admin Staff Only
If you're a teacher and receive a confirmation message, please contact your administrator for assistance.

If a teacher locks a child by accident, they will need to contact their administrator to have the child unlocked.
